Privacy Policy

All Things Agent (“we”, “us”), a Ropstam company based in Toronto, Ontario, Canada, provides AI voice, SMS and chat agents to businesses (“Customers”). This policy explains how we handle personal information of visitors to our website, our Customers, and the people who call, text or chat with our Customers’ agents (“End Users”). We comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws.

1. Information we collect

  • Website and inquiry data: name, email, phone, business name, industry, plan interest and any message you submit.
  • Account and billing data: contact details, business information and payment details (processed by our payment provider).
  • Conversation data: phone numbers, call audio, recordings, transcripts, summaries, SMS and chat content, and details End Users share (such as name, address or reason for calling).
  • Technical data: IP address, device and browser information, and usage logs.

2. Call recording

Calls handled by an AI agent may be recorded and transcribed so Customers can review conversations, improve service and keep records. Agents are configured to disclose that the call is answered by an AI assistant and may be recorded. Customers are responsible for meeting any additional recording-notice or consent requirements in their jurisdiction.

3. SMS messages and consent

SMS is sent only on behalf of Customers to people who have contacted the business or otherwise provided consent, such as missed-call text-backs, appointment confirmations and reminders. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time; reply HELP for help. Opt-outs are honoured promptly and recorded. Mobile numbers and SMS consent are never sold or shared with third parties for their marketing.

4. How we use information

  • To provide, operate and improve the service our Customers configure.
  • To respond to inquiries and contact you about your request.
  • For billing, security, fraud prevention and legal compliance.

We do not sell personal information. We do not use End User conversation data to train third-party models for unrelated purposes.

5. Commercial electronic messages (CASL)

We send commercial electronic messages only with express or implied consent as permitted by Canada’s Anti-Spam Legislation (CASL). Every message identifies us and includes a working unsubscribe mechanism, processed within 10 business days.

6. Sharing

We share information with service providers that help us run the service (for example, telephony, SMS carriers, cloud hosting, AI processing and payments), under contracts that require them to protect it. Some providers may process data outside Canada, in which case it may be subject to the laws of those jurisdictions. We may disclose information where required by law.

7. Data retention

Call recordings, transcripts and messages are kept for the duration of the Customer’s subscription and deleted within 90 days after cancellation, unless the Customer deletes them sooner or a longer period is required by law. Inquiry data is kept for up to 24 months. Billing records are kept as required by tax law.

8. Security

We use encryption in transit, access controls and monitoring to safeguard information. No system is perfectly secure; we will notify affected parties and regulators of breaches as required by PIPEDA.

9. Your rights

You may request access to, or correction of, your personal information, and withdraw consent subject to legal or contractual limits. End Users may also contact the business they interacted with.
